Its boosters say it slashes travel costs, makes employees more productive and keeps work sessions focused on the task at hand. electronics

So why aren t more people using it Though Web-conferencing tools are spreading, companies aren t taking full advantage of the potential benefits, analysts say, because products have been seen as too complicated, too expensive and too unreliable. According to IDC Inc., a Framingham, Mass., technology-research company, three-quarters of surveyed companies that have adopted online conferencing still don t make it available to all employees. And where the tools are available, they often sit unused because employees find them too complicated. canon

The barriers to the technology have been too high in the past, says Robert Mahowald, an IDC research manager. This is beginning to change, thanks to improvements in the leading Web-conferencing tools. The number of Web-conference users world-wide is projected to increase to 107 million this year from 79 million in 2003 and 51 million in 2002, IDC says. Nearly a third of surveyed users said they had tried the technology in the past 12 months for the first time. desktop pc

Logging In

At its simplest, Web conferencing is the online complement to the common conference call. Participants log in to a restricted Web site, where they can view slide presentations, send text messages to others in the meeting and work together on documents and spreadsheets. Some services also offer online white boards, where the presenter can draw diagrams, as well as the ability to conduct surveys of conference participants and tally the results. desktop computers

Web conferencing began working its way into the mainstream in the mid-1990s with the launch of services by WebEx Communications Inc. and Placeware, which is now called Microsoft Live Meeting and is part of Microsoft Corp. But the systems lacked the simplicity and ease of use necessary to be widely adopted. think pad

During the Web seminar itself, you can see how much of your audience is paying attention. If the GoToWebinar application is not the top window, they re probably not. GoToWebinar shows the organizer a real-time display of the percentage of people who are with you. When the attentiveness of your audience wanes, it s maybe a reminder to spice things up a bit or kick off a poll or quiz (just remember to create your poll before the meeting starts; you can t write them on the fly). repair

After the event, the organizer can get reports listing all the questions asked (via the messaging system) during it, or even a list of who was paying attention and when. GoToWebinar is a screen-sharing application, great for PowerPoints and demos. It doesn t handle the voice component or a presentation, though. For that, you ll need to use a telephone conference bridge. GoToWebinar provides a dial-in number when you set up your meeting, which makes it easy for people to listen in to your presentation. Still, I would have preferred at least the option to host or participate in meetings via Skype or other VOIP products. data recovery

One other snag: GoToWebinar viewers need to download an application to watch a show. That s archaic -- there should be an option for a pure Web-based viewer (see, for example, Vyew). This basic Web conferencing program lets you conduct online meetings with clients, associates, or just about anyone else with a broadband connection. GoToMeeting displays what s on your computer screen for instance, a PowerPoint presentation--to one or more meeting participants, who can, with your permission, also control your PC or display their screens. And since GoToMeeting integrates with Microsoft Outlook, you can schedule meetings and invite attendees from inside your e-mail client (provided it s Outlook). While GoToMeeting lacks the sophisticated videoconferencing, whiteboard, and VoIP audio features of leading competitor WebEx, it s far easier to learn and costs a lot less, too. By Jeff Bertolucci September 8, 2005 Looking for a simple, priced Web conferencing service Citrix Online GoToMeeting 2.0 might be for you. rich competitors such as Microsoft Live Meeting and WebEx Meeting Center, GoToMeeting is by far the easiest to master. Version 2. needed features, such as the ability to record Web meetings and to share individual applications (rather than the entire screen). GoToMeeting isn't perfect, however. For example, you'll need additional hardware, PC recorder, to save audio comments from meeting participants. And since GoToMeeting doesn't support streaming video, it's a poor choice for online video training and tutorials. But with online conferencing, simplicity matters, a fact that Citrix Online understands well. We recommend GoToMeeting 2.0 for basic application sharing, running a PowerPoint slide show, for instance, but not for video.
